Terms of Service
Effective date: October 7, 2026
These Terms of Service (the "Terms") govern your access to and use of hollywoodnorth.org (the "Site") and the directory, marketing, sourcing, location listing, sponsored content and onboarding services (the "Services") provided by Hollywood North Production Resources ("Hollywood North", "we", "us"). By using the Site or the Services you agree to these Terms. If you do not agree, please do not use the Site or the Services.
If you use the Services on behalf of a business or production, you confirm that you are authorised to accept these Terms on its behalf, and "you" includes that organisation.
1. Using the Site
We grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the Site for your personal or internal business purposes, in accordance with these Terms. You may share links to our pages and quote short excerpts of our articles with attribution and a link to the original. You may not copy, republish or redistribute substantial portions of the Site, including directory data, without our written permission.
2. Eligibility
The Services are intended for businesses, professionals and productions. You must be at least 18 years old and able to form a binding contract to purchase Services. Listings are available to businesses that genuinely supply, or wish to supply, the film and television industry in British Columbia or Ontario.
3. Directory listings
3.1 Accuracy
You are responsible for the accuracy of information you submit for a listing, including your business name, contact details, services, credits, certifications and insurance status. You must notify us promptly of any changes. We may edit listings for clarity, length, consistency and style.
3.2 Review and removal
All listings are subject to review. We may decline, suspend or remove a listing — with a pro-rated refund of any prepaid fees for paid listings where removal is not due to your breach — if we reasonably believe it is inaccurate, misleading, unlawful, unrelated to the film industry, infringes third-party rights or breaches these Terms.
3.3 No endorsement
A listing, badge or placement does not mean that we endorse, certify, guarantee or have verified every aspect of a business. "Film-ready" badges reflect information supplied by the business and our reasonable review at the time. Productions should carry out their own due diligence, including checking insurance certificates, licences and references.
3.4 Ranking
Featured and Spotlight listings receive priority placement in their categories. Within the same tier, listings may be ordered by relevance, completeness, region or other factors we choose. Paid placement is identified as such.
4. Paid services, fees and billing
- Prices. Prices on the Site are in Canadian dollars and exclude applicable taxes (GST/HST/PST), which will be added to invoices. The online estimator is indicative only; your plan is confirmed in a written proposal or order confirmation.
- Invoicing. We invoice by email. Monthly services are invoiced in advance each month; one-time services are invoiced at order unless agreed otherwise. Payment is due within 15 days of the invoice date.
- No online payments. We do not collect payment card details on the Site. Payments are made by bank transfer or through our invoicing provider's secure payment page.
- Late payment. We may suspend Services for invoices more than 30 days overdue after giving you notice.
- Price changes. We may change prices for monthly services with at least 30 days' notice. Changes do not affect amounts already invoiced.
5. Term and cancellation
- Listings are month-to-month. You may cancel with 30 days' written notice; your listing remains active until the end of the paid period.
- Marketing campaigns have a minimum term of 3 months, after which they continue month-to-month and may be cancelled with 30 days' notice.
- One-time services (onboarding, location listing setup, sponsored features) may be cancelled for a full refund before work begins. Once work has started, fees are non-refundable except as required by law, but we will deliver any work already completed.
- We may terminate Services for material breach of these Terms that is not remedied within 14 days of notice.
6. Production sourcing concierge
Our sourcing concierge is a free information service for productions. Shortlists are prepared in good faith based on information available to us at the time, including information provided by suppliers. We do not act as an agent, broker or contractor for either party. Any agreement for goods or services is made directly between the production and the supplier, and we are not a party to it or responsible for its performance, pricing, safety, insurance or quality.
7. Location listings
If you list a property, you confirm that you own it or are authorised by the owner to list it, and that the information and photos you provide are accurate. Any filming arrangement is made directly between you and the production under a location agreement. We recommend that you obtain proof of the production's insurance and seek independent advice where appropriate. We do not charge commission on location fees.
8. Sponsored content and newsletter placements
Sponsored features are written or edited by our editorial team in consultation with the sponsor and are clearly labelled "Sponsored". We retain final editorial control to ensure accuracy, fairness and compliance with applicable advertising standards. Claims made in sponsored content must be truthful and substantiated by the sponsor. We may decline sponsored content at our discretion.
9. Your content and licence to us
You keep ownership of logos, photos, text and other materials you provide ("Your Content"). You grant us a non-exclusive, royalty-free, worldwide licence to host, reproduce, adapt (for example, resize or crop), publish and display Your Content on the Site, in our newsletter and in promotional materials for the Services, for as long as the relevant Service is active and for a reasonable period afterwards to remove it from archives and caches. You confirm that you have all rights needed to grant this licence and that Your Content does not infringe anyone's rights or include personal information about others without consent.
10. Acceptable use
You agree not to:
- submit false, misleading or fraudulent information, or impersonate any person or business;
- scrape, harvest or bulk-download directory data, or use it to send unsolicited messages in breach of CASL;
- interfere with the Site's operation, security or other users' access, including by introducing malware or overloading our systems;
- attempt to gain unauthorised access to any part of the Site or our systems;
- use the Site for any unlawful, harassing, defamatory, discriminatory or obscene purpose; or
- post photos or confidential information about productions without permission.
11. Our intellectual property
The Site, including its design, text, graphics, compilation of directory data, articles and the Hollywood North name and logo, is owned by or licensed to us and is protected by copyright, trademark and other laws. Except as permitted in these Terms, you may not use our intellectual property without prior written consent. Photographs on the Site are used under applicable licences and remain the property of their respective owners.
12. Third-party websites and services
The Site contains links to third-party websites, including government agencies, film offices, unions and listed businesses. We provide these links for convenience only and do not control or endorse third-party content, products or practices. Your dealings with third parties are solely between you and them.
13. Information, not professional advice
Articles and guides on the Site — including information about tax credits, permits, insurance and regulations — are general information only and are not legal, tax, accounting, financial or insurance advice. Laws, rates and procedures change. Always confirm current requirements with the relevant authority and consult qualified professionals before making decisions. See our Disclaimer.
14. Disclaimers
To the maximum extent permitted by law, the Site and Services are provided "as is" and "as available". We do not warrant that the Site will be uninterrupted or error-free, that directory information is complete or current, or that the Services will result in any particular volume of enquiries or bookings. Nothing in these Terms excludes any warranty or right that cannot be excluded under applicable consumer protection law.
15. Limitation of liability
To the maximum extent permitted by law, Hollywood North and its owners, employees and contractors will not be liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, data or goodwill, arising out of or related to the Site or the Services, even if advised of the possibility. Our total liability for any claim relating to the Site or the Services is limited to the amount you paid us for the Services giving rise to the claim in the 12 months before the event, or CAD $100 if you have not paid us anything.
16. Indemnity
You agree to indemnify and hold harmless Hollywood North from any claims, losses, liabilities and expenses (including reasonable legal fees) arising from Your Content, your breach of these Terms, or your dealings with productions, suppliers or property owners introduced through the Services.
17. Governing law and disputes
These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable there. Before starting formal proceedings, both parties agree to try in good faith to resolve any dispute through discussion within 30 days of written notice. Subject to that, the courts of British Columbia have non-exclusive jurisdiction. If you are a consumer, this clause does not deprive you of the protection of mandatory consumer laws of your province of residence.
18. General
- Changes. We may update these Terms. Updated Terms take effect when posted, except that changes to paid Services take effect at your next billing period after notice.
- Entire agreement. These Terms, together with any written proposal or order confirmation and our Privacy Policy, form the entire agreement for the Services. If there is a conflict, a signed proposal prevails.
- Severability. If any provision is found unenforceable, the rest remains in effect.
- No waiver. Failure to enforce a provision is not a waiver.
- Assignment. You may not assign these Terms without our consent. We may assign them in connection with a reorganisation or sale of our business.
- Force majeure. Neither party is liable for delays caused by events beyond reasonable control, including labour disruptions in the film industry.
- Language. The parties have requested that these Terms be drawn up in English. Les parties ont exigé que les présentes conditions soient rédigées en anglais.
